JOB DESCRIPTION

Position: Administrative Assistant – New York Office

Job Description:
This is an opportunity to take on a significant amount of responsibility within the New York office of a high-growth and collegial international advisory business.

Key Responsibilities:
1. Personalized support for CEO and MD
‒ Manage schedules and prepare itineraries for CEO & MD, ensuring that all relevant information is provided for each meeting
‒ Liaise with clients and internal staff on scheduling to ensure efficient use of time and resources
‒ Arrange all travel and liaise with relevant agencies/suppliers
‒ Manage expense processing and reimbursement
‒ Update CRM with contacts and ensure data integrity
2. Ad hoc support for client-facing staff
‒ Arrange ad hoc travel and liaise with relevant agencies/suppliers
‒ Liaise with clients and internal staff on scheduling of conference calls and meetings
‒ Ad hoc preparation of documents for client meetings
‒ Arrange team meetings and logistics
3. Administrative Support
‒ Ensuring the smooth and efficient running of all client-facing activities
‒ Meeting and greeting clients in a highly professional, friendly manner
‒ Arranging, ordering, and serving refreshments/catering
‒ Answering main telephone line, screening and forwarding phone calls, and taking messages when needed
‒ Proactively managing stock levels of office supplies
‒ Coordinating with IT suppliers on new hardware, any systems faults, and/or telephone and mobile phone issues
‒ Managing file retention
‒ Liaising with landlord
‒ Assist business development team with ad hoc CRM database management
‒ Arrange annual company meetings and holiday parties, potentially with international staff involvement as well.

Qualifications/Experience:
- College degree
- Strong written and verbal communication skills
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Dynamics
- Relevant experience with a commitment to achievement in a fast-paced environment, while demonstrating effective time management
- Prior experience handling confidential information
