Position Description:

We have an exciting opportunity for anExecutive Assistantto join our team supporting our Finance/Controller's area. We are seeking an individual with highly developed verbal and written communication skills, a strong executive support skill set and professional demeanor. You will be involved in providing project based support in addition to performing basic administrative duties. Position is located in our downtown Manhattan office.

Specific responsibilities will include:

  • Provide administrative support in a complex environment to senior leaders

  • Coordinate complex, senior-level internal/external meetings and conference calls

  • Maintain detailed and constantly changing calendars, prioritize meeting requests, and assist with related logistics (ie: distributing/copying/binding meeting materials, booking conference rooms, etc.)

  • Arrange domestic and international travel arrangements including ground transportation and lodging
    Process expense reports utilizing Concur

  • Handle a large volume of phone calls and interact with senior business leaders in a professional and effective manner

  • Organize, prioritize, and summarize the content of incoming mail, special requests, and meetings

  • Manage onboarding/off-boarding of new hires, consultants, and temporary personnel

  • Prepare and facilitate approvals of contracts and invoices

  • Compose and type correspondence, memos, presentations, confidential materials, etc.

  • Partner with Finance space coordinator, real estate, facilities management, technology, etc. to coordinate space reconfiguration


Position Requirements:

  • Minimum 5 years of executive administrative support experience

  • College Degree is preferred, but not required

  • Must be proactive with excellent anticipation and problem solving skills

  • Ability to work under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment

  • Excellent judgment, independent thinker and resourceful

  • Ability to handle sensitive and confidential information

  • Demonstrate a sense of urgency for seeking results

  • Must be comfortable interacting with all levels of the organization

  • Proficient in MS Office (Outlook, Word, Excel, PowerPoint); Adobe Acrobat

  • Knowledge of AIG applications a plus (including but not limited to SAO, Concur, Ariba, Fieldglass, etc.)
