Reporting directly to the Principal, the Executive Assistant (EA) provides support in a one-on-one working relationship. The EA serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Principal. The EA is the primary liaison between the Principal, Clients, Consultants, Vendors, and the SheltonMindel℠ Team. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written & verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The EA will have the ability to work independently on projects, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Roles & Responsibilities

Executive Support

• Completes a broad variety of administrative tasks for the Principal, including addressing phone calls & correspondence, arranging detailed travel plans, itineraries, and agendas; scheduling & monitoring meetings.
• Coordinates the Principal’s schedule. Gatekeeper and liaison between Principal and Clients, Vendors, & Employees.
• Tracks Principal’s time for billing purposes & generates expense reports.

Interior Design Assistant

• Directly supports Senior Interior Designer.
• Responsible for correspondence, scheduling Client/Vendor meetings, gathering textile & rug samples, and coordinating shipping of purchased items.
• Generates purchase orders & invoices, and maintains ID database through FileMaker
• Other duties, as assigned.

Public Relations / Press

• Creates visual and digital presentations.
• Prepares award submissions.
• Composes presentation boards showcasing winning projects.
• Coordinates with Book & Magazine Publishers to fulfill publication requests/requirements.


• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
• Very strong interpersonal skills and the ability to build relationships with SheltonMindel℠ Team, Clients, Vendors, Contractors, Auction Houses, & Publications/Publishers.
• Excellent written and verbal communication skills.
• Demonstrated proactive approaches to problem-solving with strong decision-making capability.
• Emotionally mature and highly resourceful team-player, with the ability to also be extremely effective independently.
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of client service and response.
• Ability to achieve high performance goals and meet deadlines in a fast paced environment.
• Forward looking thinker, who actively seeks opportunities and proposes solutions.

Education & Experience Requirements

• Bachelor's degree required
• Strong work tenure: At least 5 years of experience supporting top level Executives
• Interest in Architecture & Interior Design. Educational background and experience a plus
• Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, Photoshop, InDesign, G-mail Suite, and Social Media web platforms
