We are a startup company based out of New York City, we are seeking smart, energetic recent college graduate that wants to learn, work on cool projects and loves entrepreneurial work environment.

The successful candidate will be result-driven, highly competent and self-motivated, with experience and skills in executive administration, impeccable ability to maintain confidentiality, and the ability to work effectively within a context that requires flexibility, positive attitude and capacity to flourish in a fast-paced, deadline driven environment.

Responsibilities fall into 3 areas:

ADMINISTRATIVE SUPPORT: Provide administrative support to the CEO; handle complex calendaring/scheduling, travel arrangements, and coordination of events or meetings. Ensure appointments are kept and the schedule flows accordingly. Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Ensure smooth functioning of the executive office. Maintain files, including confidential information, program reports, organizational promotional materials and standard organizational information.

FINANCES: Manage AP, ensuring all expenses are reconciled and paid in a timely manner. Make purchases as approved by CEO. Track and compile expense receipts and prepare monthly expense reports.

SPECIAL ASSIGNMENTS: Perform and/or manage special assignments for the CEO which may require researching and collecting information needed to complete projects or reports; complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving and making adjustment to plans.

DUTIES AND RESPONSIBILITIES
· Coordination/orchestration of projects or commitments directly involving the CEO
· Creating and managing project plans
· Review assigned projects on an ongoing basis and undertake research and analysis of new projects and initiatives as needed
· Research and prepare briefing documents for key materials and presentations
· Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion.
· Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature.
· Schedule, prepare materials and notes, and ensure follow-up for various leadership and staff meetings
· Prepare briefings, talking points, presentations and proposals for internal and external meeting
· Calendar and schedule management: Coordinating and facilitating meetings with clients and internal stakeholders
· Call/Email management, contact management
· Event logistics
· Other responsibilities as required

QUALIFICATIONS
· Bachelor's degree is required
· Proficient with Powerpoint, Excel, Google suites, and Mac
· Event Management and coordination experience
· Self Starter, detail oriented, highly structured, and well organized
· Ability to operate under uncertainty and be proactive in determining assignments and priorities
· Politically savvy and astute regarding myriad internal and external interactions and relationships
· Trustworthy and discreet regarding sensitive and confidential business matters
· Excellent verbal and written skills, including presentation skills to communicate with management and customers
· Excellent analytical and problem solving skills
· Ability to handle multiple complex projects and timelines concurrently
· Ability to effectively communicate task and project status at appropriate level of detail depending on target audience
· Ability to work with global team


Position is in NEW YORK CITY
Available immediately for Part time or Full time
