Receptionist & Office Administrator


Validus Specialty Underwriting Services, Inc. (VSU, or otherwise referred to as Validus), a wholly owned subsidiary of Validus Holdings Ltd. is looking for a Receptionist & Office Administrator. This position is responsible for the professional and efficient managing of visitors, telephone calls and messages, as well as a variety of administrative, office and clerical duties as assigned.

Operate a multi-line phone system

Greet clients, advise appropriate staff of visitor arrival, and offer refreshments

Prepare correspondence for outgoing mail (i.e., FedEx, USPS, courier services), sort and distribute all incoming mail

Using Outlook, schedule and organize meetings for internal and external clients and maintain calendar of visitors to the office

Coordinate booking of conference rooms and /or conference calls, (ensure equipment, TV, charts, etc., requested is available)

Coordinate catering for internal meetings

Partner with building services to maintain the office’s appearance ensuring a client-ready state at all times

Monitor Office equipment and arrange for equipment maintenance, order supplies as necessary

Provide general office support, including: requesting building/visitor passes, ordering stationary and kitchen supplies, coordinating catering for staff/client functions, submitting maintenance/service requests for the company (e.g., elevators, kitchen, bathroom, etc.), etc.

Assist Executive Assistant and provide support when Executive Assistant is absent or on vacation

Assist on special projects, such as support for staff and client events, Conference Registration, and support to UA team with policy submissions

Coordination of Corporate rate with hotels

All other duties as assigned


Associate’s degree or 1-2 years of experience preferred

Proven organizational skills and a strong sense of attention to detail; excellent verbal and written communication; excellent analytical skills

Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel, PDF)

Excellent interpersonal skills; heavy interaction with internal and external clients

Punctuality and regular attendance

Additional Information:

Compensation will be highly competitive based on experience, qualifications, inclusive of discretionary performance bonus, 401(k), and group health insurance (including medical, dental, vision, STD, LTD & life)
