The New York Public Librarys Digital Strategy Team is responsible for providing strategic leadership across the whole of the New York Public Library through its digital services and operations. In achieving this, its goal is to deliver high:quality, high:performing interactive products and services that meet patronsA? needs and expectations. Digital Strategy is seeking a dynamic and enthusiastic administrative support professional to function in an efficient, detail:oriented, and proactive manner. The Administrative Assistant will be responsible for providing administrative support to the Senior Director of Digital Operations and other members of the Digital Strategy leadership team. Working under the superivision of the Executive Assistant to the Chief Digital Officer, the Administrative Assistant will be: Responsible for general administrative tasks including:Maintaining the calendars of the Senior Director and other Directors, anticipating necessary background material, directions and other items required for each activity on the scheduleDrafting and preparing presentations, spreadsheets, org charts, correspondence and emails as directed by the appropriate leaderHandling travel arrangementsTaking and preparing meeting minutes and notesPreparing and processing travel and expense reports for the Senior Director and DirectorsSchedule and coordinate logistics for meetings and events involving the NYPL Digital department, including designing and sending invitations, maintaining RSVP lists, ordering catering, etcMaintainsinternal department information on NYPL intranetExecute various office administration duties including: equipment and supplies provisioning; managing software licenses and cloud:based services; Approve staffs timesheets (eTime)Manage and execute special projects as neededAccountability and Professionalism Customer Service Collaboration and Teamwork Job:Specific Knowledge and Skills College degree or equivalent combination of education and experienceAt least 2 years experience providing administrative support to senior level managersStrong interpersonal and communication skills (orally and written)Sound proof:reading and writing skillsStrong time management skills; ability to handle multiple concurrent assignments, with a high degree of accuracy, and meet deadlines in a high pressure environmentExcellent organizational and prioritization skills; detail orientedAbility to perform in a complex environment and interact with senior level managers under highly demanding conditionsMust have superior skills in MS Office Suite products and Google Suite products. Familiarity using a MAC is a plusExcellent phone manner and management a mustSelf:starter with the ability to work independentlyAptitude for solving problemsPrior experience in a public library, cultural organization or not:for:profit preferredOffice Setting35 hours per week.Evenings and weekends preferred.Non Union
