The Director of Events and Experience ensures that attendees see all the ARFs events as best in class and ensures the smooth overall operation of ARF events.
The ideal Director of Events and Experiences represents the Advertising Research Foundation in the most positive manner with prospective and current members, vendors and the industry and academic communities we serve. Interacts effectively with a diverse group of staff, ARF member volunteers (Board, Council, Committee) and uses operating practices of the department and the ARF; upholds the principal mission: to improve the practice of advertising, marketing and media research in pursuit of more effective marketing and advertising communications; and handles confidential information with tact and discretion.
Primary Responsibilities:
Event Logistics
:Manage the execution and attendee experience of the full spectrum of conferences, webinars, award ceremonies and workshops each year.
:Work with appropriate individuals to develop and monitor timelines and deadlines for each event.
:Oversee and manage the database, registration platform and process, including on x2010;site, to ensure accurate registration data, name badges, fee collection, counts for specific events, etc. to ensure high:quality end to end.
:Develop a working knowledge of the technology and tools used in the department and take ownership of and have a thorough understanding of projects to drive them to successful conclusion.
:Ensure event logistics representation at all events (travel as needed) to provide on x2010;site event management.
:Research potential event sites in selected geographic locations, negotiate for complimentary member facility space when possible.
:Lead in the hotel/venue selection and contract negotiation for all events.
:Negotiate contracts and evaluate options with a variety of vendors for events and arrange for all related event services, such as decorators, A/V, F and B, signage, entertainment, awards etc.
:Negotiate all hotel accommodations for staff and speakers, and communicate rooming lists and VIP upgrades to hotel, as appropriate.
:Ensure all logistical details of events including securing of conference rooms, photography and videography, temps, room set x2010;up, audio:visual, security, housing, food and beverage, BEOs, etc.
:Work with Sponsorship to fulfill any sponsor and exhibitor agreements that require F and B, space, AV etc.
:Manage the Event Operations Manager and Events Intern with a high degree of understanding of the details of their day to day work.
:Provide guidance and teach
:Work with human resources to create staff assignments for large events.
:Work closely with finance to reconcile billing following each event to ensure proper budget allocation.
:Develop and monitor event budgets to ensure revenue and expenses are kept within established boundaries.
:Review event financial information weekly for accuracy, identify trends and report those trends in a timely manner to marketing department so that issues can be addressed.
:Ensure all payments are recorded in the database and final numbers submitted to the accounting department.
:Work with accounting department to collect any non x2010;paying exhibitors, attendees, sponsors, etc.
Communication and Promotions
:Create, manage and distribute promotional codes for events and webcasts.
:Work with marketing department to develop registration materials for events.
:Responsible for ensuring timely and highly effective communication with event registrants regarding confirmations and cross:promoting offerings (booking hotel, other small events within large events to increase attendee participation and improve their experience.
:Work with marketing department to review promotional materials prior to distribution, i.e. attendee brochure, on x2010;site program, folders, postcards etc.
